Getting Started

ELIGIBILITY
Organizations must be determined to be in compliance with IRS code 501(c) (3) and submit the IRS Determination Letter to be eligible to fundraise.

APPLICATION PROCESS
Groups must submit the following documents:

  • Letter of Intent to volunteer
  • IRS Determination Letter
  • W-9 Requesting Taxpayer EIN Certification

LETTER OF INTENT
Written on organization's letterhead that includes:

  • Full name of organization
  • Purpose and nature of organization
  • Physical and mailing address of organization
  • Contact information - name(s), phone(s), and email addresses
  • Size of group (total # of vols) and specifically the number of volunteers committed to work each event
  • Fundraising goals & activities to be paid for by money earned
  • Program group wants to particpate in - Rodeo, Texans, Astros

IRS DETERMINATION LETTER
Groups must verify their tax-exempt status by providing a copy of the letter from the IRS in which the organization is determined to be a 501c (3)  per the internal revenue code.

W-9 REQUESTING TAXPAYER IDENTIFICATION
Group completes and submits the W-9 which allows ARAMARK to verify the group's Federal Employer Identification Number.

SIGNED NONPROFIT GROUP AGREEMENT TO FUNDRAISE

Once ARAMARK receives the applicant information, ARAMARK confirms receipt of application and will notify group of acceptance and next entry point into program. Once on-boarding begins, group will be invited for meeting with non-profit Manager to discuss and sign contract for upcoming particpation.  This is a contract between ARAMARK and your organization; this must be signed by a trustee of the organization. The contract term is one season.

Nonprofit organizations (NPOs) must have a signed contract on file before they can be scheduled to fundraise. Group leaders must inform members of the contract requirements (rules and regulations of ARAMARK) so group members are in compliance.

VOLUNTEER SIGN IN SHEET/INTENT TO VOLUNTEER FORM 
All volunteers that will be participating in your fundraising efforts sign a statement acknowledging their intent to volunteer for your organization and also acknowledging they are not ARAMARK employees.

COMMUNICATION
Nonprofit organizations sign up to fundraise through the human resource department. The designated HR representative is the Non-Profit Organization Manager, Devin Medina. All scheduling occurs between the group leader and the NPO Manager.

Group is required to designate two contacts. Group's designated group leaders are the liaison to the ARAMARK human resources department. Communication is conducted by email.  Please visit the Contact Us page for more contact information.

VOLUNTEER AGE REQUIREMENTS
All volunteers must be 18 years of age or older. The majority of the concession locations serve beer; therefore all volunteers are required to be TABC certified.  All volunteers must also be Food Safety certified as of Rodeo 2012.

Please note: All individuals must carry valid photo identification and abide by security criteria.

TRAINING REQUIREMENTS
ARAMARK conducts training for incoming nonprofit organizations to acquaint them with the building and ARAMARK policies and procedures. ARAMARK requires volunteers to attend NPO Orientation, TABC, and Concessions training.  All volunteers must be licensed by the Texas Alcohol Beverage Commission (TABC) before handling alcoholic beverages. Volunteers may be required to serve alcohol and must be TABC certified. All volunteers must be Food Saftey Certified before handling food in the concessions environment.

The leader in a concession stand is known as a stand manager. These members of your nonprofit organization must be trained and certified to operate a concession stand. Training and certification will be provided by ARAMARK at no cost to your group.
